If a user queries whether their long service increase has been applied, it can be difficult to see due to pro-rata calculations. You can verify this by comparing their allowance against the allowance profile.
📌 Note: You need HR Admin permissions to view allowance profiles and user data.
Check the user’s allowance
Click My Admin, then click View another user.
Select the user, then click Allowances.
Note the following:
Allowance Profile
The Annual allowance shown in the suggested calculation
🤓 Tip: The annual allowance value is shown before any pro-rata adjustments.
Convert allowance to minutes (if needed)
If the value is shown in hours:
Multiply by 60 to convert to minutes.
This makes it easier to compare with the allowance profile.
Check the allowance profile
Click HR Admin, then click Setup.
Click Allowance Profiles.
Open the user’s allowance profile.
Locate the allowance array (for example: 0:13500,1:13950).
Confirm the length of service band
Match the user’s annual allowance to a value in the array.
Example:
If the array is 0:13500,1:13950
And the user’s allowance is 13950 minutes
✅ The user has moved to the second length of service tier.
Understand why this is needed
Pro-rata calculations reduce the visible allowance.
This can hide whether the increase has been applied.
The annual allowance value shows the true entitlement before adjustments.
Check calculation method if needed
If results look incorrect:
Review the Year 2 onwards calculation method.
Confirm it matches your company policy.
