Fix hourly worker setup issues with future work patterns

Resolve issues when converting a user to an hourly worker where future work patterns prevent the wizard from completing.

If the hourly worker setup wizard fails or the calendar doesn’t reflect updated working days, it’s usually because the system can’t process existing or future daily work patterns. You need to remove these patterns before rerunning the setup.

📌 Note: You need HR Admin permissions to update work layers and run setup wizards.

Fix the issue

Step 1: Remove future work patterns

  1. Click HR Admin, then click Change user work layers.

  2. Find the user.

  3. Click the Layer Array field.

  4. Remove any layer IDs that represent future work patterns.

  5. Press Enter, then click Save.

Step 2: Reset worker type

  1. In the same screen, find Hourly worker?.

  2. Set the value to 0 (daily worker).

  3. Click Save.

Step 3: Re-run the hourly setup wizard

  1. Click HR Admin, then run Hourly worker setup wizard.

  2. Set the First Day New Work Pattern Starts to the day after the last daily pattern ends.

  3. Complete the wizard.

Step 4: Apply future pattern changes

  1. Click HR Admin, then run Change hours wizard for an hourly worker.

  2. Set any future working pattern changes.


Understand why this happens

  • The hourly setup wizard can’t convert users with multiple or future daily patterns.

  • Existing patterns must be cleared before conversion.


Consider an alternative setup

You may not need to convert the user to hourly.

  • Daily workers can still work part-time.

  • Only use hourly setup if daily hours vary.

Example:

  • Use hourly worker if hours differ each day.

  • Use daily worker if days differ but hours stay consistent.

⚠️ Important: Converting between daily and hourly can affect historical data such as allowances and booked leave. Always review values after making changes.


Confirm the fix

After completing the steps:

  • Check the calendar reflects the correct working days.

  • Confirm allowance calculations are accurate.
