Convert an hourly worker to a daily worker

Change a user from an hourly worker to a daily worker and update their allowances and working pattern.

You can convert a user from hourly to daily working, but you should avoid this where possible. The system calculates hourly and daily allowances differently, which can lead to incorrect balances.

📌 Note: You need HR Admin permissions to update work layers and working patterns.

Understand the impact

The system calculates:

  • Hourly workers in hours.

  • Daily workers in days and half days.

If a user books leave in hours, the system can’t automatically convert this into days. You must adjust allowances manually.


Record existing allowance values

  1. Click My Admin, then click View another user.

  2. Select the user, then click Allowances.

  3. Make a note of:

    • This year’s holiday quota.

    • Remaining leave.

    • Carried over leave.

    • Any adjustments.


Update the work layer

  1. Click HR Admin, then click Users.

  2. Click Change user work layers.

  3. Find the user, set Hourly Worker to 0, then press Enter.

  4. Set Layer Array to 1,3, then remove any hourly patterns.

  5. Press Enter, then click Save.


Assign a daily allowance profile

  1. Click My Admin, then click View another user.

  2. Select the user, then click Allowances.

  3. Change the Allowance profile to a daily profile.

  4. Click Submit.


Set the working pattern

  1. Click HR Admin, then click Users.

  2. Run Change work pattern wizard for a daily worker.

  3. Set the correct working pattern for the user.


Recalculate and apply allowance

  1. Click My Admin, then click View another user.

  2. Select the user, then click Allowances.

  3. Review the allowance calculation.

  4. Click the link to copy values to This Year’s Holiday Quota, then submit.


Convert carried over and adjusted leave

The system converts existing values from hours into minutes. For example:

  • 15 hours becomes 900 (minutes).

To correct this:

  • Divide by 60 to convert minutes to hours.

  • Divide by the user’s daily working hours to convert to days.

Example calculation:

  • 900 á 60 á 7.5 = 2 days.

Update the values manually, then click Submit changes.

⚠️ Important: Always review and adjust allowances after conversion to ensure they reflect the correct number of days.
