Manage allowance profiles and length of service rules

Set up and manage length of service (LOS) rules in allowance profiles, and understand how they affect user holiday entitlement.

You can use allowance profiles to define how holiday entitlement increases based on length of service. These rules control how many days users receive as their service increases.

📌 Note: You need HR Admin permissions to update allowance profiles and user allowances.

Set up length of service rules

  1. Click HR Admin, then click Setup.

  2. Click Allowance Profiles.

  3. Enter values in the Allowance Array column.

Use a colon to separate years of service and allowance, and a comma to separate entries. For example:

  • 0:27

  • 5:30

  • 10:33

This means:

  • 0 years = 27 days.

  • 5 years = 30 days.

  • 10 years = 33 days.

  1. To apply the values, press Enter.

  2. Click the Save icon.


Check and change a user’s allowance profile

  1. Click HR Admin, then click Users.

  2. Click Allowances and start dates.

  3. To sort users, click the Allowance Profile column header.

From here, you can review or update which profile each user is assigned.


Understand how changes affect users

Changes to allowance profiles don’t update user allowances immediately.

  • The system applies changes during the next rollover.

  • You must update allowances separately if you need the change to apply straight away.


Understand when allowance arrays start

Allowance calculations depend on the configuration of the profile.

  1. Click HR Admin, then click Setup.

  2. Click Allowance Profiles.

  3. Check the Year 2 onwards calculation method setting.

This determines whether the system bases entitlement on:

  • The employee’s start date.

  • Or another configured method.
