Change an allowance profile mid-year

Adjust a user’s holiday entitlement when their allowance changes part way through the business year.

If a user’s entitlement changes during the year, you can’t apply multiple allowance profiles within the same business year. Instead, you must update the profile for future use and make a manual adjustment for the current year.

📌 Note: You need HR Admin permissions to update allowance profiles and user allowances.

Update the allowance profile

  1. Click My Admin, then click View another user.

  2. Select the user, then click Allowances.

  3. Select the new value in Allowance Profile.

  4. Click Submit changes.


Apply the new allowance

After updating the profile:

  1. Click the link to copy values to This Year’s Holiday Quota.

  2. Click Submit changes.

📌 Note: This updates the user’s entitlement, but you may still need to adjust it manually for the current year.


Adjust the allowance manually

  1. Click My Admin, then click Allowances.

  2. Enter a value in Other Adjustments to Holiday Allowance.

  3. Enter a reason in Other Adjustments Reason.

  4. Click Submit changes.

Use this to:

  • Add or reduce entitlement for the remaining part of the year.

  • Reflect mid-year changes such as promotions or contract updates.


Calculate the correct adjustment

To work out the correct value:

  • Check the user’s allowance for the first part of the year.

  • Compare it with the new entitlement.

  • Adjust the difference manually.


Use a working pattern split for accurate calculations

If you need a more precise calculation:

  1. Click HR Admin, then run Change work pattern wizard.

  2. Set the start date to when the new entitlement begins.

  3. Keep the same working pattern.

  4. Complete the wizard.

This splits the year into two periods so the system calculates each part separately.


Prepare for future years

  • The new allowance profile applies automatically at the next rollover.

  • You won’t need manual adjustments going forward.
