Understand mid-year pro-rata settings

Choose how the system calculates holiday entitlement for users who start or leave part way through the year.

If a user doesn’t work the full business year, the system calculates their entitlement using a mid-year pro-rata method. This defines how their allowance is adjusted based on time worked.

📌 Note: You need HR Admin permissions to update allowance profiles.

Set the pro-rata method

  1. Click HR Admin, then click Setup.

  2. Click Allowance Profiles.

  3. Select the required profile.

  4. Choose a value in Mid Year Pro-Rata Method.

  5. Click Save.


Choose the correct method

Days (worked only)

  • Based on actual days worked.

  • Excludes bank holidays from the calculation.

🤓 Tip: Use this when bank holidays are treated separately.

Days (worked plus bank holidays)

  • Based on total days worked including bank holidays.

  • Uses the full working year as the baseline.

Months (to nearest month)

  • Calculates based on months worked.

  • Rounds to the nearest full month.

Months (whole months)

  • Calculates based on full months only.

  • Always rounds down.

Weeks (to nearest week)

  • Calculates based on weeks worked.

  • Rounds to the nearest week.

Weeks (whole weeks)

  • Calculates based on full weeks only.

  • Always rounds down.


Understand how to select the right method

  • Use days-based methods for the most accurate results.

  • Use months-based methods for simpler administration.

  • Use weeks-based methods for shorter employment changes.


Consider bank holiday rules

  • Some methods treat bank holidays separately.

  • Others include them within the total allowance.

Make sure this aligns with your Bank Holiday settings in the allowance profile.
