Manage bank holidays for part-time workers

Understand how bank holidays affect part-time workers and how to adjust allowance profiles to ensure correct entitlement.

If you need to check or adjust how bank holidays affect part-time employees, you can configure this in allowance profiles. The system uses specific rules to determine how bank holidays impact holiday entitlement.

📌 Note: You need HR Admin permissions to update allowance profiles and location settings.


Understand how bank holidays are calculated

The system compares:

  • Bank holidays at the user’s location.

  • Bank holidays the user receives based on their working pattern.

For example:

  • Bank holidays received = 66 hours.

  • Bank holidays at location = 60 hours.

This difference affects the user’s overall entitlement.


Review or change bank holiday rules

  1. Click HR Admin, then click Setup.

  2. Click Allowance Profiles.

  3. Review the Bank Holiday Effect on Part Timers setting.

  4. Select the required rule.

  5. Click Save.

📌 Note: Changes affect the system’s suggested calculation. You can review and accept or override the result.


Check location settings

The system uses location data as the benchmark for bank holidays.

  1. Click HR Admin, then click Setup.

  2. Click Locations Data.

  3. Confirm the correct bank holidays apply to the location.


Choose the correct calculation method

Each option affects entitlement differently.

Adjustment is based on worked days

  • Calculates entitlement based on days worked vs full-time days.

  • Suitable if you calculate pay using worked days.

Bank holidays count as part of the allowance when part-time

  • Includes bank holidays within the prorated allowance.

  • Applies only to part-time users.

Bank holidays count as part of the allowance

  • Combines holiday and bank holidays into one total.

  • Deducts bank holidays based on when they fall.

Bank holidays earned are pro-rated

  • Calculates total entitlement, then adjusts based on bank holidays taken.

  • Recommended as a balanced and fair method.

Basic – not factored in

  • Ignores bank holidays in calculations.

  • May favour part-time workers who work on typical bank holiday days.


Understand common scenarios

  • Part-time users may receive more or less entitlement depending on their working days.

  • If a user works longer days on common bank holiday days (such as Mondays), the system may reduce their entitlement.

  • If a user doesn’t work on bank holidays, the system may increase their entitlement.
