Fix issues when reinstating a user

Resolve issues where a reinstated user doesn’t appear correctly, is still hidden, or doesn’t show in the reinstatement list.

If a user doesn’t reinstate correctly, the cause is usually a manual update that missed key fields. You should always use the Reinstate user wizard, as it updates multiple areas automatically.

📌 Note: You need HR Admin permissions to reinstate users and update account details.

Use the reinstate user wizard

Always try the wizard first:

  1. Click HR Admin, then run Reinstate user wizard.

  2. Select the user.

  3. Complete the wizard.

The wizard restores:

  • Account status.

  • Groups.

  • Line manager and direct reports.

  • Start and end dates.


Fix users still hidden or missing

If the wizard didn’t work or wasn’t used, check these areas manually.

Check employment end date

  1. Click My Admin, then click View another user.

  2. Select the user, then click Key dates.

  3. Remove or update the employment end date.

  4. Click Save.

Check payroll ID and account details

  1. Click My Admin, then click View another user.

  2. Select the user, then click System.

  3. Remove any $ or leave date values from the Payroll ID.

  4. Click Save.

Update group membership

  1. Enable hidden users.

  2. Click HR Admin, then click Groups.

  3. Click Organise membership from perspective of user.

  4. Remove the user from leaver groups.

  5. Add them to the correct groups.

  6. Click Submit changes.

📌 Note: The user may belong to a hidden leaver group, so unhide leavers before making changes.


Fix the email address

  • Remove any $ or leave date from the email address.

  • Ensure the email is valid and active.

For Workspace-linked users:

  • Break the Access Evo link.

  • Update the email address.

  • Relink the user to Access Evo.


Confirm the fix

After you update the user:

  • Check the user appears in active lists.

  • Confirm they can access the system.

  • Verify their groups and reporting structure.


Understand the cause

This issue usually happens when:

  • Someone manually edits a leaver record.

  • The wizard isn’t used to complete the reinstatement.

Using the wizard prevents incomplete setups and avoids these issues.
