If a “Deleted User” appears in calendars or reports, the account has likely been anonymised but not fully removed from active group visibility. You need to complete the removal process to stop the user appearing.
📌 Note: Anonymising a user does not remove them from calendars or reports.
Understand why the user still appears
Anonymising replaces user details with “Deleted User”.
The account still exists in the system.
The user may still belong to groups, so they appear in calendars.
Follow the correct process
To fully remove visibility, follow this order where possible:
Run the Leaver wizard.
Unhide leavers if needed.
Anonymise the user.
📌 Note: If the user is already anonymised, you may not easily identify them when running the wizard.
Remove the user from groups
If the user still appears:
Click HR Admin, then click Users.
Unhide leavers:
Click To show these users click here.
Click Groups, then click Organise membership from perspective of user.
Find the user.
Remove them from all groups.
Click Submit changes.
Confirm the fix
After removing group membership:
The user no longer appears in View Group calendars.
Reports and views only show active, assigned users.
Understand key points
Anonymising removes personal data but not system presence.
Group membership controls calendar visibility.
Removing group access ensures the user no longer appears.
