Reinstate a user

Reinstate a user who was marked as a leaver, including rehired employees, incorrect leave dates, or users not returned by nightly uploads.

You can reinstate a user using the Reinstate user wizard. Nightly uploads don’t reinstate users, as the system ignores updates for suspended accounts.

📌 Note: You’ll need HR Admin permissions to complete these steps.

Reinstate a user using the wizard

  1. Click HR Admin.

  2. Click Run the Reinstate user wizard.

  3. Select the user from the list, then complete the wizard.

The system restores the user’s data automatically, including their Workspace link.

After you finish:

  • Check the user’s group.

  • Check their line manager and direct reports.

  • Confirm their start and leave dates.


Correct an incorrect leave date

If you entered the wrong leave date:

  1. Run the Reinstate user wizard.

  2. Run the leaver process again with the correct date.


Reinstate a user without the wizard

If you don’t see the reinstate option, update the user manually.

  1. Click HR Admin, then click Users.

  2. Click Staff that have left the company.

  3. Search for the user.


Update user details

  1. Click Allowances and start dates, then remove the leave date.

  2. Click Save, then click Names and usernames.

  3. Remove the $ and date from the payroll ID.

  4. Remove the $ from the email address.

  5. Click Save.


Update account settings

  1. Click My Admin, then select View another user.

  2. Select the user, then click Account.

  3. Remove the $ from the email address if present.


Validate the account

Click System, then set Account validation to Yes.


Confirm key details

  • Check key dates are correct.

  • Check allowances are correct.

The user will now be active again.


Reinstate a historic user as a new employee

If you reinstate a user who left several years ago, update their employment details and allowance.

  1. Click HR Admin, then click Allowances and start dates.

  2. Update the following:

    • Business year start date.

    • Business year end date.

    • Holiday rollover date.

    • Employment start date.

  3. Click Save.


Recalculate allowance

  1. Click My Admin, then select View another user.

  2. Select the user.

  3. To copy the values to This Year’s Holiday Quota, click the red link.

  4. Submit the update.
