Set up a term-time working pattern

Manage users who work during term time only or have different working patterns across the year.

If a user works term time only or follows different schedules during the year, the system can’t model this as a single pattern. Instead, you can apply multiple working patterns with different start dates.

📌 Note: You need HR Admin permissions to update working patterns.

Understand system limitations

  • The system requires fixed working patterns.

  • It doesn’t support fully variable or term-time schedules in one pattern.

To manage this, you must apply multiple patterns across the year.


Set up term-time patterns

  1. Click HR Admin, then run Change work pattern wizard.

  2. Create a working pattern for the first period (for example, term time).

  3. Set the correct start date.

  4. Complete the wizard.


Add additional patterns

Repeat the process for each period:

  • Create a new pattern for school holidays or non-working periods.

  • Set the start date for each change.

📌 Note: Each new pattern automatically ends the previous one.


Plan the full year

To ensure accurate calculations:

  • Set up patterns for all key periods in advance.

  • Cover the full business year where possible.

This allows the system to:

  • Calculate entitlement correctly.

  • Reflect different working periods.


Understand how patterns behave

  • Each pattern runs until a new one is applied.

  • The system combines all patterns across the year when calculating allowance.


Choose the best approach

  • Use multiple patterns for the most accurate setup.

  • Plan changes in advance to reduce ongoing maintenance.
