Create and manage custom work layers

Create and update custom work layers to support non-standard working patterns and adjust user allowances.

If employees don’t follow a standard working pattern, you can create custom work layers to reflect their schedule. This ensures the system calculates their holiday allowance correctly based on the days or hours they work.

📌 Note: You need HR Admin permissions to create and update custom work layers.

Create a custom work layer

  1. Click HR Admin, then click Users.

  2. Click View or create your own custom work layers.

  3. Click Insert.

  4. Scroll to the bottom to find the new record.

  5. Enter a name in Description.

  6. Select a value in Type:

    • Use Work Pattern for daily workers.

    • Use an hourly type for hourly workers.

  7. Enter values in Work Pattern.

  8. Enter the Start Date.

  9. Click Save.


Understand the work pattern format

The Work Pattern defines which days a user works.

  • For daily patterns:

    • Use values to represent working and non-working days.

  • For hourly patterns:

    • Enter minutes for each half day (AM and PM).

    • Use 00 for non-working periods.

🤓 Tip: The pattern starts from the Start Date, so ensure the date aligns with the first day in your pattern.


Example work pattern

A pattern for a user working Monday and Tuesday might look like:

  • Working days: Values entered.

  • Non-working days: 00.

Make sure the pattern length covers the full cycle, including non-working days.


Use the work pattern wizard

You can also create work layers using the work pattern wizard.

  • The wizard creates layers automatically.

  • Set the full pattern length, including non-working days.

🤓 Tip: This is often quicker and reduces manual errors.


Update work layer dates

  1. Click HR Admin, then click Users.

  2. Click Change user work layers.

  3. Find the user, then note the assigned layers.

  4. Click View or create your own custom work layers.

  5. Find the relevant layer.

  6. Update the Start Date or End Date.

  7. Click Save.


Manage unused work layers

You can’t delete a custom work layer.

  • Rename the layer to indicate it should not be used.

  • Use a clear label such as Do not use.
