Admin assistant not receiving absence requests

Fix issues where an admin assistant doesn’t receive absence request notifications.

If an admin assistant doesn’t receive absence requests, the issue is usually related to approval rights or role configuration. You need to ensure the correct admin assistant role is enabled for the absence type.

📌 Note: You need HR Admin permissions to update approval rights and roles.

Check approve rights

  1. Click HR Admin, then click Setup.

  2. Click Types.

  3. Select the absence type.

  4. Open Approve rights.

  5. Ensure the correct option is selected:

    • Admin Assistant for the user’s admin assistant.

    • Line Manager Admin Assistant for the manager’s admin assistant.

  6. Click Save.


Confirm the correct role is used

  • Use Admin Assistant if the assistant supports the employee.

  • Use Line Manager Admin Assistant if the assistant supports the manager.

Make sure you select the correct role based on who should receive the request.


Check admin assistant assignment

If rights are correct:

  • Confirm the user or manager has an admin assistant assigned.

  • Check this in Manager and Admin Assistant.


Fix ongoing issues

If the admin assistant still doesn’t receive requests:

  • Confirm the absence type uses the correct approval setup.

  • Check there are no configuration issues with the role setup.
