Prevent users booking over their holiday allowance

Use limiters to warn users or stop them from booking more holiday than their entitlement allows.

If users can book more leave than their allowance, you can apply limiters to control this. Limiters can either warn users or prevent bookings, depending on how you configure them.

📌 Note: You need HR Admin permissions to update absence type settings. Limiters must also be enabled on your account.

Enable and apply limiters

  1. Click HR Admin, then click Setup.

  2. Click Types.

  3. Scroll to the Limiter Type column.

  4. Enter a value in Limiter Type for the required absence type.

  5. Click Save.


Understand limiter behaviour

  • Without limiters, users can book unlimited negative allowance.

  • With limiters:

    • You can block bookings over entitlement.

    • Or show warnings instead of blocking.

📌 Note: Users with approval rights (for example HR Managers) can override limiters.


Choose the correct limiter type

Each value controls a specific behaviour:

  • 1 – Block bookings over the full yearly allowance.

  • 2 – Limit bookings based on monthly accrual.

  • 64 – Limit bookings based on fortnightly accrual.

  • 256 – Limit bookings based on weekly accrual.


Add warning behaviour

You can configure limiters to warn users instead of blocking them.

  • Add 8 to show a warning instead of stopping the booking.

  • Add 16 to show the warning only once.

  • Add 32 to log warning messages.


Combine limiter options

You can combine limiter values to create the required behaviour.

For example:

  • 2 blocks bookings based on monthly accrual.

  • 10 (2 + 8) applies the same limit but shows a warning instead of blocking.

To combine options:

  • Add together the required values.

  • Enter the total in Limiter Type.

  • Click Save.
