Book a day off for multiple users

Book time off for multiple users or across the whole company, such as for shutdown periods, company-wide leave, or away days.

If you need to block out time for multiple users or the entire organisation, you can do this in one place using Advanced Options. This helps you manage company shutdowns, bank holidays, or group leave quickly and consistently.

📌 Note: You need HR Admin permissions to apply absences for multiple users.

Book absence for multiple users

  1. On the home page, click Activities, then click Advanced Options.

  2. Select the required date range.

  3. Select User, Group, or All depending on who you want to update.

  4. Click the padlock icon to enable HR access.

  5. Click View.

  6. Select the absence type, then click the dates in the calendar.

  7. Click Save.


Book multiple days or users quickly

  • Click and drag across dates to book multiple days at once.

  • Drag down the screen to apply the same absence to multiple users.

  • Click a date to toggle between full day and half day.


Choose the correct absence type

  • Use Holiday if the time should reduce holiday allowance.

  • Use a Miscellaneous category if it shouldn’t affect allowance.

🤓 Tip: Create a new miscellaneous category if there isn’t a suitable option.


Handle existing absences

If a user already has leave booked on the same date:

  • Remove the existing absence first.

  • Then apply the new absence.

📌 Note: Approved or requested leave may need to be cancelled before you apply a company-wide update.
