Answers to common questions about the rollover process, including editing previous years, managing allowances, and handling different scenarios.

If you need to understand how rollover affects user allowances, calendars, and carry-over rules, these frequently asked questions cover the most common scenarios and how to manage them.

📌 Note: You need HR Admin permissions to manage rollover settings and make allowance adjustments.


Change a user’s previous year calendar

Once you run the rollover process, users can’t edit their previous year calendar.

  • A super user can still make changes.

  • These changes won’t affect current year rollover calculations.

To adjust rollover values:

  • Click My Admin, then click Allowances for individual users.

  • Or click HR Admin, then click Allowances and start dates for bulk updates.


Check rollover calculations efficiently

If you manage many users:

  • Check a sample of users across different roles or patterns.

  • Focus on different allowance profiles and working patterns.

This helps confirm calculations without reviewing every user.


Exclude users from carry-over

During rollover:

  • Set a carry-over cap (for example, 0 days).

  • Select users who should exceed this cap.

You can also automatically include users on maternity leave where required.


Understand how future bookings are handled

After rollover:

  • Update rollover values in My Admin, then click Allowances.

  • Click Prior Year Rollover, then click Submit.

The system:

  • Deducts future bookings from next year’s allowance.

  • Uses carried-over allowance first, if available.


Manage nominated company days

If your company provides additional days off:

  • Add them to user entitlements.

  • Or create a new absence type or category.

Managers or HR can then book these days in bulk if needed.


Handle different rules across locations

The system:

  • Uses allowance profiles to apply location-specific rules.

  • Calculates each user’s entitlement based on their assigned profile.

Before running rollover:

  • Review calculations in the rollover report.

  • Check user profiles in HR Admin, then click Allowances and start dates.


Apply rollover to specific users

The rollover process only updates users whose:

  • Year-end date matches the selected rollover date.


Manage different carry-over rules by location

To apply different carry-over rules:

  • Create separate allowance profiles for each location.

  • Assign users accordingly.

This lets you apply different policies across regions.


Understand leavers in rollover reports

A user may still appear if:

  • Their leave date is in the future.

  • The system hasn’t completed its overnight update.


Manage time off in lieu

The system only includes lieu if you use the lieu module.

If enabled:

  • The system carries forward the closing balance.

To reset the balance:

  1. Click HR Admin, then click Users.

  2. Click Allowances and start dates.

  3. Update the Lieu Balance value.

  4. Click Save.


Update rollover expiry dates

The system applies the same expiry date during rollover.

To update expiry dates after rollover:

  1. Click My Admin, then click Key Dates.

For multiple users:

  1. Click HR Admin, then click Users.

  2. Click Allowances and start dates.

  3. Filter by location if needed.

  4. Update values in the grid.

  5. Click Save.
