Annual leave booking reminders

Learn how booking reminder emails work and what notifications managers and employees receive.

If you want to remind users to book or use their remaining holiday, the system automatically sends booking reminder emails at set points in the year.

📌 Note: You can’t customise the content or timing of booking reminder emails.

How booking reminders work

The system sends reminder emails:

  • 6 months before the end of the holiday year.

  • 3 months before the end of the holiday year.

  • 1 month before the end of the holiday year.

These reminders help users track and use their remaining entitlement.


What users receive

Employees receive:

  • A reminder showing how much holiday they have left to use.

Line managers also receive:

  • A summary of remaining leave for their direct reports.


Understand limitations

You can’t:

  • Change the timing of reminder emails.

  • Customise the wording of the emails.

  • Create additional automated reminder schedules within the system.


Consider alternative approaches

If you need different reminders or reporting:

  • Use standard reports to monitor upcoming leave.

  • Schedule manual checks or communications with managers.
